Privacy Policy

This policy explains what information is used to create your virtual companion, why it is needed and the choices available to you.

1. Information we process

  • Your account: a user identifier, email address and sign-in method. Apple or Google may provide a name or other details you authorise them to share. Email sign-in credentials are handled by Firebase Authentication.
  • Your pet: name, species, breed, up to eight selected photographs, appearance settings, processing results, the virtual companion and related settings. This may include a description of your pet’s character.
  • App use: saved progress, care settings and preferences. A local installation identifier is used for features that operate without an account.
  • Technical information: request details, IP addresses, processing job identifiers and error logs needed to operate, secure and diagnose the service.
  • Notifications: permission status and a technical device token when you enable notifications and your version supports them.
  • Support requests: information you choose to send us. Please do not send passwords or information unnecessary for your request.

When App Store purchases are enabled, product, transaction and subscription expiry information may be needed to verify access. Apple’s payment system handles payment card details; the app does not.

2. Why information is used

Information is used to sign you in, save progress, upload photographs, analyse familiar features, create and adjust your companion, restore access, respond to support requests and protect the service against abuse.

Depending on applicable law, processing may rely on providing the service you request, your consent to optional features, legitimate interests in security and reliable operation, or legal obligations. You can withdraw consent to optional features; this does not affect processing that was lawful before withdrawal.

3. Photographs and AI

The app sends photographs you select for processing after your action in the app. Access to selected photographs does not mean your entire gallery is uploaded. You remain in control of the originals in your gallery.

The OpenAI API is used to analyse photographs and prepare appearance parameters. The current integration disables response storage through the API. This does not remove the provider’s separate security and abuse-monitoring logs.

Under OpenAI’s standard API terms, API data is not used to train models unless the customer opts in. Abuse-monitoring logs may be retained for up to 30 days by default, or longer where legally required. Available data controls and exceptions are explained in OpenAI’s API data documentation.

Your photographs, parameters and results are also processed by My Pet’s Meadow infrastructure. Avoid including sensitive information or photographs of other people that are unnecessary for creating your companion.

4. Service providers and locations

The service uses Firebase Authentication for sign-in, Firebase Hosting for these document pages, Netcup server infrastructure, PostgreSQL and private Cloudflare R2 file storage. OpenAI is used for photograph analysis. Firebase and Apple notification services are used when notifications are enabled and supported.

The main server infrastructure and selected photograph storage use European regions. Some providers may also process information in other countries under their terms and applicable international transfer safeguards. Hosting part of the service in Europe does not mean all processing is limited to Europe.

Access to stored photographs is restricted. Secure connections and temporary links are used for transfer. Information may also be disclosed where legally required or to protect rights and service security. No system can guarantee absolute security.

5. Retention and deletion

Your profile, photographs, processing results and settings are retained as needed to provide the service, preserve your companion, handle repeat requests and meet mandatory requirements. Retention differs between active data, diagnostic records and backups.

Deleting one companion may not immediately delete the original photographs and results of related jobs. Full account deletion is a separate process. Cleanup may wait for active processing to finish and temporary links to expire. Failed deletion attempts are retried.

Backups are removed through rotation. In the current configuration, this normally takes around 7–14 days after backup chains have been successfully updated; backup failures may extend that period. Minimal deletion records may be kept to prevent a deleted account from being restored from a backup. Some information may be retained longer where legally required.

6. Your choices and rights

You can choose which photographs to send, change available pet settings and manage app permissions in device settings. Notifications are optional and do not require permission at first launch.

Depending on applicable law, you may request access to or a copy of your information, correction, deletion, restriction or portability; object to certain processing; withdraw consent; or complain to a competent supervisory authority.

Submit requests through the account tools available in your version or the published support contact. Identity verification may be needed to protect your information. Uninstalling the app does not itself delete data held by the service.

7. Children

The service is not intended for independent registration by children below the age at which they can consent to data processing in their country. If you believe a child’s information has been submitted without the required permission, contact support so it can be reviewed and deleted as appropriate.

8. These document pages

Fonts and images are hosted with these pages. There are no advertising trackers, analytics scripts, forms or social widgets. Firebase Hosting may process technical request information needed to deliver and protect the pages.

9. Changes to this policy

A revised policy will be published here with an updated date. Significant changes will be communicated through available channels, and separate consent will be requested where required.
